How long will it take to hire my remote team?

You can typically get started in 1–2 weeks for general admin virtual assistants and 3 weeks for specialized virtual assistants.
However, sometimes the process may take longer depending on the profile, job responsibilities and the number of candidates required.

Will I be able to review and interview the vetted candidates?
Hiring can be exhausting, especially when you have multiple open positions. That’s why we encourage all our clients to take a hands-off approach and let us handle the entire process, from end to end.
Of course, you can always reject potential candidates if they aren’t the right match.
However, we understand that it’s not so easy to let go of control in the beginning. So you’re welcome to review assessments and even interview the candidates for 30 minutes before making the final decision.

Can I assign some specific tasks to my admin virtual assistant?
Just like with a typical employee, you can train your general admin virtual assistant to handle any task.
While it can sometimes feel like your virtual assistant can do everything, remember that a single virtual assistant may not possess all the niche skills your business needs.

What are the working hours of full-time and part-time talents?
Full-time virtual assistants cover 40 hours every week (8 hours a day, 5 working days).
Part-time remote talents work 20 hours per week.
At the moment, we do not offer flexible hours, or less than 20 hours/week.

Will the virtual team be available during my working hours?
We guarantee at least 4 hours of overlap with working hours in your time zone. This means you’ll get to work with your remote team in real time and create magic!
Afterwards, you can hand over tasks to your virtual team members, so they can finish things up during your off-hours.

Can I choose the remote talents’ exact working hours?
To maximize real-time collaboration between you and your remote team, we offer multiple shift options.
The shifts are limited so as to ensure work-life balance for our virtual assistants. After all, overworked talents simply can’t give their best.

How can I communicate with my remote talent?
Your virtual assistant will be online and available for chats, calls and video meetings throughout their working hours.
While team members may not be available 24/7, we’ll work with you to find a schedule that fits your needs. In special cases, if you have unavoidable tasks and the VAs are available to work, arrangements can be made ahead of time.

Can I communicate with my virtual talents over WhatsApp?
You can communicate with your virtual team using tools like Slack, Microsoft Teams, Zoom, Google Chat, etc. However, we can’t allow one-to-one communication over WhatsApp due to security concerns.

Can I monitor my virtual assistant’s work?
Of course!
You will get detailed work reports with screenshots of your remote team’s work. You’ll be able to track their activity and ensure things are running smoothly.
We also record your team’s working hours and share monthly timesheets.

Which task management tool will my remote talents use?
Zenius talents can navigate tools like ClickUp, Asana and Trello for task & project management.
If you have any other favorite tools, our talents can adapt!

Do you offer a no-risk free trial?
Yes, Zenius offers a two week trial period with zero risk. This gives you time to work with your virtual assistants and ensure they’re the right match for your business.
If you’re 100% happy with your remote team, you’ll be billed for the time and continue with the same team members.
If you’re not fully satisfied, you won’t be charged. At this point, you can choose to start a second no-risk trial with virtual assistants who might be a better fit.

How will I be charged?
Zenius provides virtual talents on a simple, monthly subscription plan.
You’ll get one monthly invoice at the beginning of each month. No more weekly payroll hassles for you!

Does Zenius train all virtual assistants?
All our general admin virtual assistants receive training in back-office tasks.
Specialized talents bring their industry experience and niche knowledge to the table.
We know every business works differently. So we provide trainable talents who can adapt to your unique workflows effortlessly. To enable this further, you can provide internal resources and teach them your ways of doing business.

Do you offer custom training?
We offer customized training for larger teams of specialized remote talents. Our in-house experts will develop SOPs and comprehensive training materials at an additional cost.

Who do I contact for issues or concerns related to my remote team?
Zenius pairs you with a reliable account manager for support queries, service requests and urgent issues related to your virtual team.

What happens if my virtual talent doesn’t perform well?
Our recruiting process includes checks for potential issues, so such cases are rare.
However, if any performance or behavior issue does arise, we will work together and find a replacement quickly. Your Zenius account manager will make sure productive work restarts as soon as possible!

Can I remove virtual assistants from the team?
Yes! As long as you provide 2 weeks’ notice, you can replace or remove talents from your team anytime.

Can I cancel at any time?
Yes! There is no lock-in period. Cancellation is simple, with a short notice period (2 weeks).
Unlike with traditional employees, you aren’t tied to your virtual talents for months or years.

What happens if my virtual assistant quits out of the blue?
We aim for long-term relationships with all our talents. But if someone leaves unexpectedly, we’ll get you a replacement quickly. Your Zenius account manager will make sure productive work restarts as soon as possible!

Does Zenius provide managed services?
Zenius does not offer fully managed services currently. To get the most from your virtual assistants and remote talents, you’ll need to manage your project resources, timelines and team performance.

Do your talents speak English?
Yes. All Zenius talents speak fluent English. They also have excellent written communication skills.

Will my new team member work from your office?
Zenius talents will work remotely from their own workspace. However, they’ll be supervised by our team.

Will you provide computers, internet and software to virtual assistants?
Zenius’ virtual talents will have their own personal workspace with good computers and secure, high-speed broadband connections.
However, if you need them to work with specific tools and software like Canva Pro etc., you will have to share access with your remote team.

How do you ensure confidentiality?
Before hiring, we conduct a thorough background verification to verify the candidates’ identity, qualifications and employment history.
All Zenius employees sign a non-disclosure agreement (NDA) to protect client confidentiality and business information.

Can I show my appreciation for the remote talent through some kind of reward or incentive?
Of course! When an employee is appreciated, they bring their everything to the job.
